Media response case study

Situation:

An NHS Trust’s recruitment advertising campaign was receiving many responses, but their media response administration was a very hit and miss affair. It was inaccurate, time-consuming and loathed by the staff, because people wanting to apply for positions had to leave a message on an answering machine and staff had to spend hours retrieving messages, transcribing them onto paper and then manually entering the data into a database, all prior to sending out application packs.

Task:

Verbatim, the Phone Answering Service, provided the Trust with an 0800 number to use in its advertisements so that calls come direct to us.

Action:

Now, applicants’ calls are answered live by our receptionists who enter all details into a structured data capture form and at the end of each day we send the data to the Trust who then send out the application pack.

Result:

The Trust not only receives accurate data for all responses in a timely manner, it has also increased the number of applicants. Meanwhile, staff morale has improved because each day does not start with the time consuming and difficult job of listening to the answerphone.
